Blocked: no approval letter

Scheduling, dispatch and start are all disabled.

LetterClearedWorkReimbursed
No work before approval. No exceptions.

Work stays blocked until the letter is logged. No exceptions.

The problem

You do great accessibility work. The VA paperwork is where the money leaks out.

3 to 5 hrs

The bid eats your evening.

Hand-building VA-format itemized estimates in Word and Excel, splitting labor, materials, permits and inspections, for every single job.

$0 back

Start early, eat the cost.

Begin before the signed approval letter and the VA denies reimbursement. On a SAH job that loss can run tens of thousands.

30 to 45 days

Float and chase.

Approval windows tracked in your inbox and your memory. Where is that letter? Did the job ever get paid?

How it works

Three steps. Zero early starts.

From scope to reimbursement, every job moves through one guided lane.

01

Build the VA-format bid

Enter the scope and GrantGate outputs an itemized estimate split into labor, materials, permits and inspections, in the format the VA expects, with a Form 10-0103 checklist plus physician prescription and before-photo slots.

VA itemized estimate Form 10-0103
Category Line item Amount
Labor Demo + roll-in shower install 3,200.00
Materials Pan, valve, grab bars, tile 2,650.00
Permits City plumbing permit 180.00
Inspections Final ADA inspection 120.00
Total 6,150.00
02

Lock the gate

The job stays blocked until you upload the signed approval letter. Scheduling, dispatch and mark-as-started stay disabled, then clear the moment the letter is logged.

03

Track to reimbursed

A status board moves each job from Approved to In Progress to Done to Reimbursed, so nothing stalls silently inside the approval window.

The hard no-work-before-approval gate

This is the compliance moat. The job cannot be scheduled, dispatched or marked started until the signed approval letter is on file. It is the feature that pays for itself in one saved job.

  • Scheduling locked until the letter is logged
  • Clear red Blocked and green Cleared status
  • An audit trail of who cleared what and when

Why not the field-service tool you already pay for

Generic field-service tools ignore the VA workflow. That is exactly where you lose money.

Why we are building this

We kept hearing the same story from VA-grant remodelers: the itemized bid eats hours, and one early start wipes out the reimbursement. So we built the tool we wished they had.

We are building this with VA-approved contractors.

Early access partners help shape the templates and the workflow, and lock in launch pricing.

Straight answers

Questions, answered.

Is GrantGate affiliated with the VA?

No. GrantGate is an independent tool built around the VA's published requirements, including Form 10-0103 and the HISA, SAH and SHA programs.

Does it submit my application to the VA?

GrantGate produces the VA-format itemized estimate and assembles the packet. You review and submit it. We are honest about that scope.

Which grant types does it cover?

HISA, SAH and SHA home-modification grants.

Do I have to drop the tool I already use?

No. Keep Jobber, Housecall Pro or Buildertrend if you like them. GrantGate handles the VA-specific packet and the approval gate they do not.

Can I use my own line-item pricing?

Yes. The templates are fully editable, so your labor and material rates carry through every bid.

What if the VA changes the form?

We track the VA's format and update the templates so your bids stay current.

Is my data secure?

Yes. Job files, documents and photos are stored securely and tied to your account only.

Stop floating costs and chasing letters.
